What counts as a bureaucracy case

A case is one obligation with a counterparty and a next action. Examples:

• Finanzamt Nachfrage for 2024 Anlagen
• KK Beitragsanpassung with income proof due
• Landlord deposit return thread
• Unpaid invoice follow-up that crossed into formal notice

Emails are messages. Cases are work. If you cannot state the next action in one sentence, the case is not defined yet.

Building a dashboard of open loops

Minimum columns that matter:

• Title / ask
• Kind (tax, insurance, landlord, receipt, other)
• Status (open, waiting, needs approval, done)
• Deadline
• Source (which mailbox or upload)

Sort by deadline. Filter by status. Waiting means the ball is in their court; set a follow-up date anyway.

Status fields that prevent missed follow-ups

Needs approval is sacred in HITL systems: a draft exists, nothing sent until you stamp. Waiting without a nudge date is how threads die. Done needs a one-line resolution so you do not reopen archaeology later.

Avoid twelve custom statuses. Four honest ones beat a taxonomy nobody updates.

From dashboard clarity to follow-through

Open the dashboard on a fixed weekday. Clear A-items, schedule B-nudges, archive C. Link each case to its PDFs. When the board is empty of overdue red, you earned the quiet.
