What a deposit letter usually demands

Typical asks: forwarding address, bank details for return, response to deducted repair costs, copies of Übergabeprotokoll, or confirmation of Schlüssel return. Read for Betrag, claimed damages, and reply-by date.

Stay factual. Emotion belongs in a draft you delete, not in the send.

Documents and dates to capture immediately

  • Mietvertrag deposit clause
  • Handover protocol and photos
  • Prior emails about damages
  • Move-out date and notice date
  • Amount paid as Kaution and where it is held
  • The letter PDF and postmark / email timestamp

Create the case the same day. Missing photos are hard to invent later.

Follow-ups that do not become endless chasing

Cadence example: polite clarification → evidence pack → formal request citing contract → escalate only if the window demands it. Each step gets a date. No daily pings.

If they propose deductions, ask for invoices and legal basis. Pay undisputed portions if that unblocks return of the rest; document the split.
