The Freelancer Bureaucracy Deadline Calendar That Actually Gets Used
One calendar for tax, insurance, and landlord deadlines.
Calendars fail when they are incomplete or noisy. One bureaucracy calendar with only dated obligations gets used.
Which deadlines belong
Include:
- Finanzamt reply-by and payment dates
- ELSTER / USt windows you actually own
- KK contribution and proof deadlines
- Landlord deposit or repair contractual dates
- Invoice escalation dates you committed to
Exclude: soft goals, content ideas, "someday read this PDF."
Extracting dates from messy letters
Scan for Frist, bis zum, spätenstens, Zahlbar bis. Put the date in ISO form on the case and on the calendar. If only a relative phrase exists ("innerhalb von zwei Wochen"), compute the date from the letter date and mark it assumed.
When OCR or a draft extract proposes a date, verify once before it becomes gospel.
Weekly review rituals that stay light
Fifteen minutes, same weekday:
- Overdue? Handle or renegotiate today
- Next seven days? Prep evidence
- Waiting? Nudge if the nudge date hit
If the ritual needs an hour, your intake is broken.
Connect calendar to cases
Calendar entries should deep-link or name-match a case. Orphan calendar events without PDFs recreate archaeology. Cases without calendar entries recreate surprise.
Bureauzilla's cases carry deadlines; the calendar is the alarm, the case is the work.
