How to read a VAT notice without panic
Find: period, Aktenzeichen, deadline, and whether they want Zahlung, Erklärung, or Unterlagen. Skim for keywords like Nachforderung, Differenz, or Prüfungsankündigung. Write the ask in plain German or English in your case note.
Panic burns time. A two-pass read (ask, then evidence list) is enough to start.
Deadlines and documents to gather first
Before you draft:
- UStVA / annual figures for the period
- Outgoing invoices in scope
- Incoming invoices with Vorsteuer if relevant
- Bank proof for payments already made
- Prior correspondence on the same Aktenzeichen
